Before the Visit
Please ensure that you have signed and returned your booking form.
We advise an adult pupil ratio of 1:8 for KS1 and KS2 and 1:10 for Key Stage 3 and above. School staff and accompanying adults must supervise pupils throughout the visit. Please ensure that all accompanying adults are made aware of the relevant information in these notes.
Large Group Visit Options
If there are more than 32 pupils in your group, we will need to split them between a morning and afternoon workshop. The group that isn’t having the workshop will be self-led for that time; no staff member will accompany the group but there are volunteer stewards in the galleries. Some of our galleries are small so we will advise you on how they can avoid the spaces that the workshop group are in. You can arrange your own activities or we can provide Challenge Cards. If there is an exhibition on it may be possible to visit in small groups by prior arrangement. In fine weather you may wish to explore the adjacent, historic Sydney Gardens. You could also visit the Victoria Art Gallery (about 10 minutes walk away). Advance booking is essential and visits are not available on Mondays. Please read the accompanying Hazard Identification guidelines and contact us if you wish to discuss anything in further detail. We will highlight some of this guidance in our introductory talk to your group.
Planning a Visit
Please contact the Learning Administrator if you want to arrange a pre-visit planning appointment with the Learning and Outreach Officer.
We will provide all of the materials that you need for your visit, including clipboards and pencils but please bring some boxes to carry your artwork back to school.
The Museum galleries are wheelchair accessible via a lift and there is an accessible toilet on the ground floor.
Please ensure that you detail any special requirements for pupils and/or accompanying adults with the Learning Administrator before the visit.
If your visit is to include a canal walk or visit to Sydney Gardens or you plan to eat lunch outside, please advise pupils to wear comfortable shoes and to bring wet weather gear or sun hats as appropriate
On the Day
The Coach drop off point for the Museum is on Sydney Place by the right- hand side entrance to the Museum. Your coach driver will need to park at the temporary Coach Park at Weston Island, Lower Bristol Road during your visit (please see accompanying map) and return to the Museum to collect you.
Toilets are located in the basement (with an accessible toilet on the ground floor); school staff should accompany primary school pupils.
Coats & Bags
These will be left in the Clore Learning Space at the start of the visit.
Lunches can be eaten in the Clore Learning Space or in the Museum grounds – except in the area belonging to the Garden Cafe .
Please leave the Clore Learning Space clean and tidy; otherwise a £25 cleaning fee may be incurred.
Accompanying adults may purchase their own takeaway items from the Museum’s Garden café.
Food and drink must not be consumed in the Museum galleries.
There is a small Museum shop; visits can be made in small, accompanied groups during lunchtime or at the end of the visit. Alternatively, pre-ordered goody bags of Museum souvenirs can be ordered at a minimum of three week’s notice.
Photography without a flash is allowed in the main Museum galleries but not in the temporary exhibition spaces as these usually contain objects and images that are on loan to the Museum for which we do not have the copyright.
School staff and accompanying adults are responsible for the behaviour of their pupils during the visit. If necessary, our Gallery Educator will refer to you to deal with any issues.
If you are in a large group that is being split, you will be given a trail for your pupils. Weather permitting, we recommend that you also try to spend some time outside exploring Sydney Gardens.
The administering of First Aid to pupils is the responsibility of the school.
